Innomotics Privacy Policy- Job Market & Application Portal
The security and protection of your personal data is important to us. This privacy policy explains how we collect, store, use, disclose and transfer (hereinafter "process") your personal data as part of the Innomotics Job Market & Application Portal ("Application Portal").

3. What categories of data are processed?
Innomotics processes your personal data ("your data") as part of the application process for the purposes described in more detail below.
a. User account:
You can send us your application via our Application Portal. To do this, you must first create an account and include your personal data. In this context, we process your full name, your login data and your contact data ("profile data"). We process your data to enable you, within the scope of your personal user interface in the Application Portal, (i) to create and manage your online account for the execution of your application, (ii) to update, secure and troubleshoot, provide support, and (iii) to improve and further develop the Application Portal and our application processes and services. In addition, we process your data to show you other suitable jobs; and to send you information, documents and invitations for interviews.
The legal basis of the processing is Art. 6 (1) s. 1 lit. b GDPR, as the data is necessary to fulfill our contractual obligations to you or we need the data to prepare a contract conclusion with you.
If you apply for the open positions you have selected, your profile data will be deleted after the completion of the last open application process active in your account or six (6) months after your last login (whichever is longer). An exception to this retention period applies to profile data used to apply for job openings at Innomotics group companies in the United States. In this case, we are required by local law to retain the data for a period of three (3) years after the completion of your application process.
b. Application Data:
To apply for a job, you will be asked to upload certain information in your account on our Application Portal. In doing so, we also process personal data contained in the information provided, such as your resume, and, if applicable, additional documents you upload, information about your work experience, qualifications and skills. We process your data in order to screen your application and assess your qualifications and personal suitability with regard to the position applied for. In addition, we process information that you actively provide to us in the further course of the application process for a specific vacancy and related information that we have collected from you in the course of your interviews and assessments, including audio and video recordings that you have provided to us during the application process ("Application Data").
The legal basis of the processing is Art. 6 (1) s. 1 lit. b GDPR, as the Application Data is necessary to fulfill our contractual obligations to you or we need the data to prepare a contract conclusion with you.
You can further decide to share your Application Data with all Innomotics companies that have similar or related job offerings compared to the job you applied to. In this case the respective Innomotics subsidiaries will have access to your Application Data, as well. Legal basis for the processing is your prior consent, according to Art. 6 (1) s. 1 lit. a GDPR, that you provide when registering in the Application Portal.
Your Application Data will continue to be stored for a period of six (6) months after completion of the respective application process unless you request us to delete the data earlier. You can request earlier deletion of the data at any time, as described in point 5 ("How can you access your data?"). An exception to this retention period applies to Application Data used to apply for job openings at Innomotics group companies in the United States. Here, we are required by local law to retain the data for a period of three (3) years after the completion of your application process.
c. Publicly available professional data from social networks:
In addition, we process data about you, such as data that you have published in company and employment-oriented social networks or websites, such as LinkedIn and Xing ("job-related social network data"). Job-related social network data is part of your profile and therefore also part of the profile data. In this context, we limit ourselves to the processing of your profile data that you have made available to all users of the social network and that has a clear connection to your professional activity or your suitability for the position to be filled, such as: professional stations or qualifications. For the avoidance of doubt, we do not collect and process data from social networks or websites that do not have a company- or employment-oriented context.
The legal basis of the processing is Art. 6 (1) s. 1 lit. b GDPR, as the data is necessary to fulfill our contractual obligations to you or we need the data to prepare a contract conclusion with you.
Your data from job-related social networks will be deleted after the completion of the last open application process active in your account or six (6) months after your last login (whichever is longer). An exception to this retention period applies to data from Job-Related Social Networks used to apply for job openings at Innomotics group companies in the United States. Here, we are required by local law to retain the data for a period of three (3) years after the completion of your application process.
d. Applications via LinkedIn:
If you submit an application to us via our LinkedIn profile, we process your application data contained therein (such as name, e-mail address, date of birth, postal address and telephone number), the documents you submit (such as resume, references, cover letter, including the information contained therein about your person and qualifications) as well as additional information and notifications you provide (such as desired start date and employment, salary requirements, your notice period or your motivation why you would like to work for us). The processing is carried out for the purposes of processing the application, including the preparation and conduct of interviews as well as recruitment tests and the evaluation of the results and to the extent otherwise required in the application process. We will contact you in the application process to inform you about the progress of the application or to invite you to an interview or recruitment test. As part of the application process, the documents are first processed by the HR department. If you are suitable, your personal data and documents will be forwarded to the relevant specialist department. The legal basis for the data processing described above is Art. 6 (1) s. 1 lit. b GDPR. The data processing is necessary for the establishment of a possible employment relationship.
e. Get Matched:
With the "Get Matched" function, we offer you the opportunity to upload your resume in order to filter suitable positions in our company for you in advance with the help of software. In doing so, we process information contained in your uploaded resume and match it with open positions. A prior registration in our Application Portal is not necessary. The processing is carried out at your instigation in order to enable you to receive automated suggestions for suitable positions from the Application Portal and to help you to find the open position(s) that best match your skills and talents.
The legal basis for the processing is Art. 6 (1) s. 1 lit. b GDPR, as the data is necessary to fulfill our contractual obligations to you or we need the data to prepare a contract conclusion with you. If you use the Get Matched function without registering or logging in, the corresponding data will only be stored for the duration of your browser session and deleted after you close your browser. If you use the function via your account, the above information regarding your profile and application data applies accordingly.
f. Usage data:
Information about your interaction with the Application Portal, including your device and user ID, information about your operating system, subpages accessed during your visit, the date and time of each visitor request.
We process your data to enable you, as part of your personal user interface in the Application Portal, (i) to create and manage your online account, (ii) to update, secure and troubleshoot, provide support, and (iii) to improve and further develop the Application Portal and our application processes and services.
The legal basis for the processing is Art. 6 (1) s. 1 lit. b GDPR, as the data is necessary to fulfill our contractual obligations to you or we need the data to prepare a contract conclusion with you. Furthermore, the temporary storage of the data is necessary for the course of a website visit to be able to display our website to you. This processing is technically necessary to ensure the functionality of the website and the security of the information technology systems. The legal basis for the processing is Art. 6 (1) s. 1 lit. f GDPR in order to guarantee the provision, security and stability of our website.
The usage data is stored for a period of six (6) months and then deleted.
We do not ask you to provide us with special categories of personal data (i.e., information about race or ethnicity, political opinions, religious or philosophical beliefs, trade union membership, health, or sexual orientation) as part of your application data unless required by law in a particular case.
4. Who are the recipients of your data?
As described above, if you wish, we will share your application data to Innomotics companies. In addition, Innomotics may engage service providers (so-called processors) to assist us in the processing and use of your data, in particular in the area of IT services, e.g., hosting provider.
The recipients of your data may be located in countries other than your home country (each, a "Third Country") where applicable laws do not provide the same level of data protection as in your home country. In such cases, and where required by applicable data protection law, Innomotics will take steps to ensure appropriate and adequate safeguards to protect personal data elsewhere.
a. We will only share your data with Innomotics group companies in Third Countries (for a list of these companies please see above) if they have (i) implemented the Binding Corporate Rules on the Protection of Personal Data or if they have (ii) entered into EU Standard Contractual Clauses with Innomotics.
b. We will only transfer your data to non-Group recipients in Third Countries if they (i) have concluded with Innomotics EU Standard Contractual Clauses.
Innomotics will provide you with further information and a copy of the implemented measures upon request.
The application process for some job openings may require your voluntary participation in evaluation, selection or similar procedures by third parties. In this case, Innomotics or the Innomotics company offering the relevant position will inform you of the relevant procedures and recipients as part of the application process and prior to transferring your data to third parties.
5. How can you access your data?
What are your rights? Data protection laws, including the laws of the country in which you reside, may give you certain rights in relation to your personal data. Subject to local legal requirements, you may be entitled to the following rights:
a. Information and access: you may request information from Innomotics as to whether or not personal data concerning you is being processed and, if so, you may request access to the personal data;
b. Correction: You have the right to request that your personal data be corrected and/or updated if it is inaccurate or no longer current;
c. Deletion: You have the right to have your personal data deleted. This right is subject to certain limitations;
d. Restriction: You have the right to have the processing of your personal data restricted. Restriction means that your personal data will only be stored by Innomotics for the duration of the processing of your complaint and will not be further processed;
e. Data portability: you have the right to receive a copy of your personal data that you have provided to us in a structured, commonly used and machine-readable format and to request Innomotics to transfer this data to another recipient selected by you;
f. Object to processing: You have the right to object, on grounds relating to your particular situation, to certain types of processing of personal data concerning you.
