As a Customs & Transportation Specialist, you will be responsible for ensuring compliant, timely, and cost‑efficient execution of all transportation and customs‑related activities worldwide within our centralized HUB structure.

You will manage the end‑to‑end execution of transportation and customs processes, ensuring that every shipment—whether domestic, intra‑EU, or international—is supported with accurate documentation, proper customs classification, and seamless coordination with logistics partners.

You will act as a central operational interface between Factories, Forwarders, Customs Agents, Sales, Order Management, Finance, and Accounting, ensuring that all transport and customs activities are executed in line with legal requirements, internal guidelines, and customer expectations. Your work will directly contribute to delivery reliability, regulatory compliance, and transparency across the entire supply chain.

This is a highly operational role requiring strong coordination skills, a deep understanding of customs and logistics processes, and a structured, solution‑oriented working approach. You will ensure that all customs‑relevant data is accurate, all transport steps are properly documented, and all stakeholders receive timely and reliable information. You will contribute to operational excellence, data accuracy, and seamless cross‑border movement of goods.

This role will report to HV Finance CRM Europe Order Management Team Leader

 

What are your responsibilities?

  • Coordinate transportation planning, manage communication with forwarders and carriers
  • Order international shipments including road, air, sea, and courier transport
  • Ensure customs compliance: verify HS codes, Incoterms, COO, customs values
  • Obtain and validate shipping documentation: commercial invoices, packing lists, CMR, AWB, B/L, EUR1, ATR, export declarations
  • Coordinate with customs agents, provide data, resolve queries, ensure timely clearance
  • Monitor import and export processes including EU–non‑EU flows and imports from CN and US factories
  • Act as primary contact for logistics providers, manage escalations, delays, and exceptions
  • Support HUB import processes, ensure correct documentation for Importer of Record
  • Maintain logistics data (transportation status, customs attributes, delivery updates)
  • Track shipments end‑to‑end, ensure transparency on delivery dates and deviations
  • Ensure compliance with export control team (screening, embargo checks, dual‑use verification)
  • Support freight cost management, verify invoices, allocate costs, support accruals
  • Prepare operational logistics reports: KPIs, lead times, customs performance
  • Collaborate with Order Management, ensure aligned execution and documentation accuracy
  • Maintain strong communication with factories (loading readiness, packaging, documentation)
  • Support claim handling (transport damages, delays, missing documents)

What do you need to make real what matters?

  • University degree in Business Administration, Economics, Logistics, Supply Chain, or related fields
  • Several years of experience in Order Management, customs, transportation, logistics coordination, or freight forwarding
  • Strong SAP knowledge and experience in transactional processing
  • Solid understanding of customs regulations, Incoterms, export control, and international trade documentation
  • Experience working in international or multi-country environments
  • Structured, detail-oriented, and solution-driven mindset
  • Strong communication skills and stakeholder coordination ability
  • Fluent English; additional European languages are a plus
